Administrative Assistant

Job Description:

The duties and responsibilities he/she is going to take this job include, but are not limited to:

• Oversee all office services vendors, Facility Management service providers to ensure quality delivery of all operational services and performance;

• Engage in new office services negotiation and internal approval;

• Work with the Office Manager to oversee and execute small-scale office renovation works through processes;

• Undertake organizing of company events approval including event planning, budget checking, and decision making;

• Work closely with Office Manage and Management to implement company policies and the follow through procedures;

• Identify potential areas for improvements in operational lapse/incidents by creating response plans independently;

• Coordinate all kinds of meetings and business trips and travel visas at the local office;

• Maximize work productivity rates by proactively providing feedback on operational concerns/issues with external/internal clients

• Provide administrative support, and logistic arrangements to other business departments / non-local departments when needed;

• Establish and maintain communication linkage with colleagues to effectively disseminate important information to all staff

• Take care of office administration work assigned by the Office Manager and back up other Admin colleagues when needed;

• Perform any other ad-hoc requests from Management.

 

Skills and Abilities:

• Good communication and problem-solving skills

• Professional mannerisms and proactive working attitude

• Good command of PC skills, Excel, Word, PowerPoint, and Access

• Ability to work efficiently under pressure

 

Core Qualifications:

• Bachelor's degree or above holder

• 3-5 years experience in administrative jobs

• Fluent in English and Mandarin both written and spoken

• Familiarity with the financial services industry would be a plus
