Job Summary:
Provide company secretarial work for HKEX's subsidiaries and joint ventures in Hong Kong and the PRC to ensure compliance with all applicable statutory and regulatory requirements.

Job Duties:

Responsibilities:

Directors Engagement & Company Secretarial
  • Support Group Company Secretary to provide the best-in-class engagement experience for Directors and committee members and deliver high standards of boardroom and governance practices
  • Provide dedicated support service to Directors and committee members on board / committee related matters and requests in a professional manner
  • Coordinate travel, accommodation and other logistic arrangements / support for Directors and committee members
  • Organisation of board and committee meetings and functions
  • Liaise with internal and external parties to ensure smooth execution of tasks and events
  • Provide company secretarial and administrative support across different teams within Secretarial Services Coverage (including but not limited to preparation of meeting agendas, maintenance of proper statutory books and other records, implementation of processes or systems that advocate operational effectiveness and efficiency and compliance with governance standards, relevant rules and regulations.
Project Management
  • Provide project management support for key projects and process enhancement of Secretarial Services Department
  • Work closely with internal stakeholders and external supplier to support on project implementation and execution
  • Participate in ongoing IT project and enhancements, provide support in project management, system testing, data tagging/cleansing, change management activities, user training and post implementation support
  • Monitor and provide regular timely updates on the project status and issues
  • Carry out ad-hoc assignments as required
Requirements:
  • University degree (preferably major in business or governance or related disciplines)
  • Minimum 8 years working experience with 3 years of direct interactions with senior stakeholders in sizeable organization(s)
  • Relevant work experience with company secretarial services / legal firms are highly preferred
  • Ability to interact with directors and other senior stakeholders independently and understand and anticipate their requirements and expectations
  • Ability to work independently and under pressure
  • Strong sense of confidentiality and responsibility
  • Well organized, self-motivated with strong communication and interpersonal skills
  • Attention to details with strong logical thinking
  • Eager to learn and adapt to dynamic environment
  • Good project management, analytical and problem solving skills
  • Fluent in written and spoken English, Cantonese and Putonghua
  • Technology savvy
