POSITION

The Portfolio Services Group seeks an Administrative Assistant to support our Leadership Team across several different functions.   This position requires the ability to manage multiple responsibilities with a "can do" attitude and attention to detail. The ideal candidate is a detail-oriented administrative professional with a positive attitude who enjoys a busy team environment.
 
RESPONSIBILITIES

Primary responsibilities include, but are not limited to:

 
  • Providing support to the Leadership Team and managers within the department
  • Extensive calendar management, including logistical coordination of internal and external meetings and committees
  • Travel arrangements/itinerary coordination
  • Planning lunches and team events
  • Expense reporting
  • Providing telephone coverage
  • Visitor scheduling internal and external
  • Assistance on the development of internal presentations
  • Maintaining and updating client-related materials and presentations
  • Overseeing, maintaining and updating department SharePoint site
  • Onboarding of new hires within the department, including but not limited to:
  • Working with managers to draft "welcome" memo
  • Preparing welcome packet
  • Scheduling meetings with senior leadership as needed
  • Working collaboratively with administrative assistants on ad hoc projects


QUALIFICATIONS

The successful candidate for this position is likely to have:
  • Prior administrative support experience
  • Strong communication skills
  • Detail oriented with the ability to produce high-quality work
  • Excellent organizational, multi-tasking, and prioritization skills
  • Professional, sound judgment, reliable and a good sense of humor
  • Proficiency in Microsoft Office Applications; Outlook, Word, Excel, PowerPoint, and SharePoint is a plus
