King & Spalding is seeking an exceptional Legal Practice Assistant to join the Sydney office. This is a high-quality legal support role providing proactive administrative, organisational and practice support to partners, associates and wider practice groups in a fast-paced international law firm environment. The role is positioned primarily as a Legal Practice Assistant role, with responsibility for supporting assigned lawyer(s), assisting other lawyers as business needs require, and providing reception cover when required. The successful candidate will be organised, discreet, responsive and able to manage competing priorities while maintaining accuracy, confidentiality and professionalism at all times.
KEY RESPONSIBILITIES
• Provide proactive day-to-day administrative, organisational and practice support to assigned lawyer(s), partners, associates and other fee earners.
• Assist other lawyers, in addition to assigned lawyer(s), as business needs and workload require.
• Manage complex diaries, appointments, deadlines, reminders and workflow priorities, anticipating requirements and following up as needed.
• Coordinate internal and external meetings across multiple time zones, including attendance management, virtual meeting arrangements and related lawyer support requirements.
• Arrange domestic and international travel, accommodation, itineraries, expenses, client meetings and related arrangements.
• Prepare, format, proofread and amend complex legal documents, correspondence, agreements, court filings, transaction documents, presentations, reports and other materials using firm templates and house style.
Use advanced Microsoft Word functionality, including styles, track changes, cross-referencing, document comparison and formatting tools, to ensure documents are accurate, consistent and professionally presented.
• Support legal document and matter-related tasks, including mark-ups, red-lining, comparisons, PDF conversion, bundling, indexing, electronic filing and digital workflow tasks.
• Assist with opening, maintaining and closing client and matter files in accordance with firm procedures, including conflict checks, engagement documentation, client onboarding, matter records, archiving and compliance requirements.
• Maintain electronic and physical matter files, ensuring documents and correspondence are filed, stored and retrieved accurately and promptly.
• Support billing and financial administration, including time-entry reminders, corrections, draft bills, WIP reports, expenses, billing narratives, invoice preparation, collections support and liaison with finance teams as required.
• Act as a professional point of contact for clients, counsel, courts and matter-related stakeholders, handling correspondence, documentation requests and legal practice enquiries in a timely and client-focused manner.
• Support business development activities, including pitches, client presentations, CRM updates, contact list maintenance, directory submissions, client events and practice group initiatives.
• Coordinate with business services teams, including finance, marketing, IT, HR and regional or global administrative teams, to deliver efficient and high-quality support.
• Work collaboratively with other Legal Practice Assistants and business support colleagues, providing cover and assistance during busy periods, absences or changing business needs.
• Manage workload effectively, prioritise competing demands, maintain high professional standards and escalate capacity issues or conflicting deadlines appropriately.
• Use relevant firm systems accurately, including document management, time recording, expenses, finance, practice management, e-filing and workflow systems.
• Follow firm policies and procedures relating to confidentiality, data protection, information security, file management, billing, client service and matter compliance.
• Provide reception and front-of-house cover when required, including greeting visitors, answering calls, managing meeting room arrangements and ensuring a professional client experience.
