About the Role
As a Senior Officer, Documentation and Loan Services, you will support the Institutional Bank's middle-office function by ensuring compliance with internal policies and facilitating smooth coordination between front-office and back-office teams.
Your responsibilities include managing the end-to-end documentation process, from preparing client facility documents to activating credit facilities. This includes drafting loan documents such as Letters of Offer (LOO), conditions precedent documents, and standard security documents using ANZ-approved templates. You will also coordinate the preparation and execution of non-standard or externally drafted documents, working closely with customers, frontline teams, Credit Risk, and Legal.
After documents are executed, you will support facility activation by issuing limit approval advice, maintaining limits in OCP, monitoring annual reviews, internal triggers, and financial and non-financial covenants. You will also coordinate with stakeholders to obtain updated valuation reports and insurance policies.
From a lending operations perspective, you will work with customers, facility agents, and local and regional teams to deliver loan fulfillment and lifecycle management services. You will gather information for audits and reporting, and support projects and initiatives aimed at improving and streamlining operational processes.
In addition, you will provide support to the Head of Documentation & Loan Services and assist regional managers with other assigned tasks.

What will your day look like?
- Manage external legal counsel fees and provide clear instructions to help reduce documentation turnaround time and speed up negotiations.
- Deliver consistent, professional, and high-quality service to internal and external stakeholders, including Relationship Managers and clients.
- Respond to stakeholder queries promptly and professionally.
- Facilitate credit limit setup and ensure compliance with internal processes, policies, and guidelines.
- Monitor and follow up on ongoing contractual and non-contractual obligations.
- Convert approved credit facilities into accurate transaction and loan documentation.
- Meet service level agreements (SLAs) by ensuring requests and transactions are processed accurately and on time.
- Provide updates and respond to inquiries regarding transaction or documentation status.
- Ensure adherence to risk management, compliance, and regulatory requirements.
- Proactively identify and recommend process improvements to enhance efficiency and service delivery.
- Support loan drawdowns, renewals, and repayments, including document preparation, processing, maintenance, and follow-up for completeness.
- Prepare and submit HKMA, APRA Large Exposure Reports, and other credit-related reports required by regulators and Head Office.
To grow and be successful in this role, you will ideally bring the following:
- Experience in banking documentation, loan administration, or control functions.
- Good understanding of banking operations, processes, and workflows.
- Strong attention to detail and sound business judgment.
- Operationally focused, with a continuous improvement mindset to enhance efficiency and service quality.
- Ability to manage multiple priorities and work effectively with stakeholders such as Relationship Managers, Credit Risk, and Legal teams.
- Self-motivated with strong organizational, coordination, and time management skills.
- Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint.
- A bachelor's degree or other tertiary qualification in a relevant field.
