Job Description

Division: Group Digital Capabilities (GDC)

By joining the GDC division, you will become part of an international and geographically distributed team that, through strong collaboration, contributes to shaping the business strategy and engages the company to deliver and grow profitable products & services.

Your role

This is an exciting opportunity to join a team of assistants, where you will be responsible for providing key administrative and secretarial support to a department head based in Brussels, as well as supporting teams within the division.

A view on your tasks:
  • Provide secretarial/administrative support to a department head and their teams.
  • Use various business software applications (e.g., Word, Excel, PowerPoint, Outlook, ...).
  • Maintain diaries and handle confidential matters.
  • Schedule appointments and arrange meetings, conferences, and travel.
  • Initiate follow-up actions where required.
  • Respond to routine questions and provide information to optimize the supervisor's time when needed.
  • Collaborate with contacts at different levels within the organization, industry, and community.
  • Coordinate team events with the support of colleagues.

Technical skills
  • You have a bachelor's or master's degree and between 2 and 5 years of experience as an Assistant / Secretary / Personal Assistant to senior professionals.
  • You are comfortable working with Microsoft Office tools (Outlook, Word, Excel, PowerPoint, SharePoint).
  • You are willing to learn additional systems such as Oracle E-Business Suite or Copilot.
  • You can provide basic technical support for setting up virtual meetings.

  • Positive, service-oriented, and adaptable
  • Discreet, with the ability to handle sensitive material and personal information confidentially
  • Tactful in interactions with colleagues and stakeholders
  • Proactive mindset in organizing (recurring) meetings, business trips, conferences, and client visits
  • Strong organizational skills, with the ability to work independently in a dynamic environment, manage multiple tasks under tight deadlines, and prioritize effectively
  • Eagerness to learn and take on new responsibilities as the role evolves
  • Strong communication skills in English, both written and spoken
  • Ability to convey information clearly and transparently
  • Able to welcome clients and visitors in a professional manner
  • Attention to detail
  • Enjoys working as part of a team
