Project Co-ordinator

Hymans Robertson LLP Glasgow, United Kingdom
Project Co-ordinator
The Vacancy

Our Actuarial Private team works with some of the UK's largest and most recognisable pension schemes, helping trustees and sponsoring employers navigate complex pensions challenges and deliver better outcomes for their members. Bringing together actuarial, investment, administration and technology expertise, the team supports clients on everything from funding and risk management to long-term strategic planning and scheme change projects. Their work is varied and rewarding, often involving collaboration across specialist teams to deliver practical solutions and exceptional client service.

We have an exciting opportunity for a Project Coordinator to join our Project Management team on a fixed term (13 month) basis. This is an ideal role for someone looking to develop a career in project management, client delivery or pensions consulting. You'll work alongside experienced project professionals, supporting a wide range of client projects and helping to deliver high-quality outcomes for some of the UK's leading pension schemes.

What will your role look like?

As a Project Coordinator, you'll work closely with senior project managers, project managers and consultants across our Actuarial Private business unit to support the successful delivery of a wide range of client projects.

You'll help coordinate project activity, maintain project documentation, organise meetings and liaise with clients and colleagues to ensure projects remain on track. As you develop in the role, you'll gain exposure to project management methodologies, client relationship management and the operational aspects of delivering complex pensions projects.

Though this is a varied role, your key responsibilities will include:
  • supporting project managers with the day-to-day coordination and delivery of client projects.
  • assisting with the development and maintenance of project plans, trackers and other project documentation.
  • monitoring project progress and ensuring records remain accurate and up to date.
  • liaising with clients, suppliers and colleagues to help progress actions and deliverables.
  • organising project meetings, including preparing agendas, coordinating papers and producing meeting notes.
  • maintaining project files and SharePoint sites, ensuring appropriate version control and document management processes are followed.
  • providing project administration support during client and internal meetings.
  • supporting client billing processes, including drafting invoices for review.
  • contributing to process improvement activities and helping the team identify opportunities to work more efficiently.
  • building your knowledge of project management tools, techniques and best practice.
  • supporting knowledge sharing and collaboration across the wider project management team.
  • adhering to the firm's Information Security standards, policies and procedures.

As your experience develops, there may also be opportunities to take ownership of smaller projects, support team initiatives and contribute to the ongoing development of our project management function.

If you enjoy and have experience of the following, we think you'll love this opportunity:
  • experience in a project coordination, project administration, operations or similar role, or relevant experience gained through internships, placements or graduate employment.
  • excellent organisational skills and the ability to manage multiple priorities effectively.
  • strong attention to detail and a commitment to producing accurate, high-quality work.
  • confidence communicating with a wide range of people, both verbally and in writing.
  • a proactive approach and a willingness to take ownership of tasks and see them through to completion.
  • the ability to build positive working relationships with colleagues and clients.
  • strong problem-solving skills and a practical, solutions-focused mindset.
  • the ability to remain calm and organised when working to deadlines.
  • a collaborative approach and enjoyment of working as part of a team.
  • a desire to learn new skills and continue developing professionally.
  • good Microsoft Office skills, including Word, Excel, PowerPoint and Outlook.
  • an interest in project management, professional services or the pensions industry.

Experience of project management methodologies or qualifications such as PRINCE2 would be beneficial but is not essential.

We would also encourage applications from candidates who may not meet every requirement listed above. If you have transferable skills, are motivated to learn and enjoy working in a fast-paced environment, we'd love to hear from you. We provide a supportive environment, excellent mentoring and a range of opportunities to help you develop your project management career.

In addition to a competitive salary, we offer:
  • a flexible selection of employee benefits, so you can choose a package that best matches your lifestyle and needs.
  • a collaborative and supportive work environment where your ideas and contributions are valued.
  • a commitment to helping you develop both personally and professionally, with access to mentoring, training and our award-winning learning portal, Aspire.
  • regular social activities, in addition to three days' paid volunteering leave each year and a day's leave to celebrate your birthday.
  • on-site mental health and wellbeing support.

We are open to the successful candidate being based in either our Glasgow or Edinburgh office. We offer hybrid working so you can enjoy the wellbeing benefits of working from home, alongside the opportunity to collaborate with colleagues in our modern and sociable office environments.

Please note - we recruit on a rolling basis for immediately available opportunities and progress candidates as soon as their applications are received. Therefore, we'd encourage you to apply to this role as early as possible to avoid any disappointment.

We are committed to being open and transparent in our recruitment and reward processes. Please note that this vacancy does not currently meet the minimum salary threshold requirements for Skilled Worker sponsorship within the UK.

To avoid any disappointment, if you require sponsorship we would encourage you to check whether you may be eligible for a discounted salary threshold, or to explore alternative routes to secure your right to work in the UK before submitting your application. If you meet the criteria outlined in the job description we'll be happy to discuss your individual circumstances further with you.
