This role is responsible for ensuring the accuracy, completeness, and compliance of loan documentation for new, renewed, and modified lending relationships. This role partners closely with lending teams, legal partners, and management to support effective risk management, regulatory compliance, and operational excellence throughout the loan lifecycle.

The key responsibilities of the role include:

• Review legal and administrative documentation for new, renewed, and modified loans to ensure alignment with approved credit structures and internal requirements.
• Identify documentation deficiencies and determine the appropriate level of exception or waiver approval required prior to loan funding.
• Monitor outstanding documentation exceptions and track the receipt of time-sensitive loan documents using internal systems and reporting tools.
• Review and validate trailing documentation to ensure proper execution, filing, and recording when applicable.
• Provide regular reporting on documentation exceptions and outstanding requirements to lending officers and management.
• Collaborate with legal counsel, relationship managers, and other stakeholders to resolve documentation questions and clarify complex loan requirements.
• Conduct reviews and audits of existing loan files to verify compliance with established bank policies, procedures, and legal guidelines.
• Prepare detailed audit summaries and findings for departmental leadership and senior management review.
• Recommend process improvements, operational controls, and best practices to strengthen documentation integrity and safeguard confidential client information.

The successful candidate will benefit from having:

Qualifications & Experience

• Knowledge of commercial and consumer loan documentation practices, typically gained through prior experience in loan documentation, credit administration, or a related banking function.
• Understanding of commercial banking systems and processes, with the ability to research and analyze information across multiple platforms.
• Strong analytical, organizational, and problem-solving skills, with the ability to identify documentation issues and recommend appropriate solutions.
• Proficiency with computer systems and database applications used for reporting, tracking, and documentation management.
• Minimum of 2 years of experience in loan documentation, loan servicing, commercial banking operations, or a related field.
• Excellent written and verbal communication skills, with the ability to effectively partner with internal stakeholders at various levels of the organization.
