The Role

Executive Support: Provide high-level administrative and coordination support to a senior C-suite executive, ensuring priorities, commitments, and daily activities are managed efficiently.
Calendar & Meeting Management: Oversee a complex schedule, coordinate appointments, manage meeting logistics, and ensure competing priorities are handled effectively.
Travel & Logistics Coordination: Arrange domestic and international travel, accommodation, transportation, and itineraries while ensuring a seamless experience.
Stakeholder Management: Serve as a key liaison between senior management, business teams, and external partners, building strong relationships and ensuring timely follow-up on key matters.
Meeting Preparation: Coordinate meetings from start to finish, including scheduling, venue arrangements, presentation materials, agendas, and follow-up actions.
Communication & Correspondence: Draft, review, and manage business correspondence, presentations, reports, and other professional documents on behalf of senior management.
Project & Business Coordination: Track ongoing initiatives, coordinate with multiple stakeholders, and ensure important projects and deadlines remain on schedule.
Events & Corporate Engagements: Support the planning and execution of internal events, business functions, leadership meetings, and external engagements.
Expense & Administration Management: Handle expense submissions, record maintenance, document management, and general administrative processes with a high degree of accuracy.
Confidential Information Handling: Manage highly sensitive information with professionalism, discretion, and sound judgment.

Your Profile

Degree holder or equivalent educational background preferred.
Around 10 years of experience supporting senior executives within a corporate environment.
Candidates from financial institutions, banking, asset management, insurance, professional services, or large MNCs are highly preferred.
Previous experience working within a sizeable and fast-paced organization is advantageous.
Strong ability to manage multiple priorities, shifting schedules, and demanding deadlines.
Excellent communication and interpersonal skills, with the confidence to engage with senior stakeholders both internally and externally.
Demonstrated professionalism, maturity, and sound judgment when handling confidential matters.
Highly organized, proactive, and solutions-oriented with strong attention to detail.
Comfortable working independently while also collaborating across different business functions.
Strong proficiency in Microsoft Office, including Outlook, PowerPoint, Excel, and Word.
Familiarity with travel coordination, expense management, and executive administration processes.
Fluent English and Chinese communication skills, both written and spoken.
Service-oriented mindset with a strong sense of ownership, accountability, and professionalism.
